Our client, a dynamic and growth-oriented boutique wealth management firm, is looking for a highly organized, driven, and detail-focused Executive Assistant to join their team in Jacksonville, FL. You will directly support the firm’s Owner, in managing calendars, information flow, and meeting logistics while building and maintaining systems that keep a fast-moving office tightly organized. Our client is seeking someone who owns outcomes, communicates crisply, and thrives on structure. Executive Operations Assistant (Finance/Wealth Management Firm) Responsibilities
• Manage and optimize calendar, meetings, and logistics
• Proactively prepare and coordinate team meetings, presentations, and travel arrangements
• Draft, review, and complete correspondence, reports, and slide decks accurately
• Act as gatekeeper for email, calls, and scheduling requests
• Maintain files, client records, and documentation management processes
• Research, analyze, and synthesize information and data to support strategic projects
• Track progress and report on follow-ups, outstanding tasks, and project milestones
Executive Operations Assistant (Finance/Wealth Management Firm) Qualifications
• Bachelor’s degree required
• 3+ years of executive administrative support experience in professional services industry required
• Experience managing multiple calendars or complex schedules required
• Strong communication (written and verbal) and numerical skills required
• Proficiency with MS Office (Word, Excel, Powerpoint) required
